Automated source refresh and reusable BI files

Schedule BI-ready data from Xero, QuickBooks and HubSpot

Use Datplan schedules to refresh supported source data and write stable reporting files for Power BI, Tableau, Qlik or your own analysis. The source pull and the BI-platform refresh remain separate, visible stages.

One repeatable pipeline

From provider API to a stable reporting folder

Automate the repetitive extraction and preparation work while keeping the downstream BI model under your control.

  1. Authorise the sourceConnect the permitted Xero company, QuickBooks company or HubSpot portal through the provider's supported sign-in flow.
  2. Choose a Datplan scheduleUse once, daily, weekly or monthly scheduling where the selected source plan supports it.
  3. Run the API pull and ETLDatplan refreshes the supported source data and rebuilds the reporting tables for the completed run.
  4. Write stable BI-ready filesExport fact and dimension tables to the same local, network or Windows-accessible synced folder expected by the downstream model.
  5. Refresh the BI platform separatelyPower BI, Tableau, Qlik or another consumer rereads the updated files using its own permissions and refresh configuration.

Supported reporting routes

Use the same automation idea across finance and CRM data

Xero

Scheduled accounting reporting data

Refresh the supported Xero reporting grains and write stable files for financial analysis, management reporting and external BI modelling.

QuickBooks Online

Scheduled accounting reporting data

Refresh supported QuickBooks reporting tables and reuse the prepared fact-and-dimension files in a Power BI, Tableau or Qlik model.

HubSpot

Scheduled CRM reporting data

Refresh supported HubSpot companies, contacts, deals and activity reporting data so commercial teams can analyse CRM performance in an external BI model.

Why this is useful

Keep the reporting model open to more than one presentation tool

Datplan's scheduled output is not limited to a Datplan dashboard. A team can use the prepared files as the input layer for Power BI, Tableau, Qlik, Excel-based processes or its own controlled analysis. That is useful when the organisation already has a BI estate or needs to combine source data with other internal datasets.

  • Stable file names for repeat refreshes
  • Basic or Advanced fact-and-dimension packages where supported
  • Semantic and relationship guidance in the BI package
  • Local or organisation-controlled export locations

Combine business questions

Finance and CRM do not have to stay in separate reports

For organisations using both an accounting platform and HubSpot, the downstream BI model can bring prepared datasets together under the organisation's own modelling rules—for example pipeline and deal activity alongside actual financial outcomes.

Datplan does not automatically merge Xero, QuickBooks and HubSpot into one universal model. Each source keeps its documented reporting grains. Cross-source relationships and business measures must be designed and reconciled in the downstream BI model.

Refresh responsibilities

Know which part failed when a report is stale

Datplan source refresh

Check the scheduled execution, provider authorisation, source limits and the completed Datplan run before assuming the BI report is at fault.

Reporting-file publication

Confirm the expected BI files were written to the stable folder and, for a synced location, that the operating system's sync client has completed its work.

BI-platform refresh

Power BI Service, Tableau or Qlik uses its own credentials, gateway or storage access. A successful Datplan run does not guarantee that a later cloud BI refresh also completed.

Scheduled BI questions

Set the automation boundary clearly

Can Datplan schedule Xero, QuickBooks and HubSpot pulls?

Datplan supports once, daily, weekly and monthly scheduling, subject to the selected source plan, provider permissions, usage limits and service availability.

Does a Datplan schedule refresh Power BI Service itself?

No. Datplan updates the source data and reporting files. Power BI Service has its own refresh job and needs an appropriate route to the files, such as organisation-controlled storage or a supported gateway configuration.

Can the files stay local?

Yes. The export destination can remain local. If a team needs shared access, choose a Windows-accessible network or synced location controlled by the organisation.

Does HubSpot use the same reporting tables as Xero or QuickBooks?

No. HubSpot keeps its own CRM grains such as companies, contacts, deals and activities. Datplan prepares source-specific tables; the downstream BI model decides whether and how different sources should be combined.

Build the scheduled data layer once

Start with the scheduler and BI export help, then point your existing reporting model at a stable folder.
