Xero and QuickBooks reporting for accounting firms

Run a repeatable multi-client reporting workflow without pooling every client's data in another hosted warehouse

Datplan gives accountants, bookkeepers and finance consultants a consistent Windows workflow for authorised Xero and QuickBooks companies. Each client remains in a separate workspace and export location, while the reporting steps stay familiar across both accounting platforms.

How does multi-client accounting reporting work in Datplan?

Create a workspace for the client, connect the authorised Xero organisation or QuickBooks company, run the appropriate pull, review the result and update that client's local dashboards or stable BI files. Repeat the same controlled sequence for the next client without merging credentials, databases or export folders.

A visible client-by-client process

Keep access, data and reporting outputs attributable to the right client

Separation reduces the chance of refreshing the wrong company into the wrong report and makes handover easier to review.

  1. Create or select the client workspaceUse a clear client name and verify the selected source before connecting.
  2. Authorise the correct companyComplete the provider's own browser consent flow and choose only an organisation you are permitted to access.
  3. Sync and reconcileReview endpoint status, row counts, timestamps and available reconciliation output before distributing a report.
  4. Use the correct reporting grainKeep financial summaries, ledger activity, invoices, payments and line-level analysis separate so totals are not multiplied.
  5. Write to a client-specific folderMaintain stable file names for Power BI, Tableau or Qlik while keeping each client's destination distinct.
  6. Record the reporting dateMake the last successful source refresh visible so readers do not mistake a local reporting copy for current live data.

Reporting outputs

Use local dashboards for working review and portable files for wider reporting

The accountant can review one client in Datplan, export prepared tables and then place the approved reporting files into the client's existing BI process.

Month-end reporting

Prepare profit-and-loss, balance-sheet, trial-balance, invoice, debtor, creditor and payment views where the connected source and selected plan provide the required data.

Power BI-ready exports

Use stable fact and dimension files plus relationship guidance. The first model, measures, Power BI Service access and report distribution remain under the firm's control.

Audit Analytics

Apply seven configurable tests consistently across Xero and QuickBooks clients, then move from an unusual pattern to the records included in that result.

Client handover

Keep the reporting files in an organisation-controlled location with documented refresh steps, rather than tying the report permanently to an individual consultant's private storage.

Capacity and scheduling

Choose the plan from the number of connected companies and required refresh pattern

Datplan source plans define connected-client capacity, pull credits, monthly data allowance, dashboards, schedules and export access. Xero and QuickBooks plans are selected separately because provider access, API behaviour and source usage are managed independently.

Before automating a client pack, complete a manual run, verify the accounting result and confirm that the Windows device and destination folder are available at the intended schedule time.

Multi-client does not mean automatic consolidation

Datplan can keep client extractions consistent and can prepare files that are easier to combine. It does not decide group structure, intercompany eliminations, chart-of-account mapping, foreign-currency treatment or the accounting basis for a consolidated report.

Accounting-firm questions

Plan the client workflow before automating it

Can an accounting firm use one Datplan workflow for Xero and QuickBooks clients?

Yes. Xero and QuickBooks use source-specific connections and reporting tables, while the operating pattern remains consistent: select the client workspace, sync the authorised company, review the run, then update dashboards or stable reporting files.

Does Datplan automatically consolidate every client into one set of accounts?

No. Datplan keeps client workspaces, connections and exports separate. A firm can combine selected entities in Power BI, Tableau or Qlik, but group mapping, eliminations, currency treatment and consolidation logic remain part of that downstream model.

Where is each client's accounting data stored?

The provider dataset is stored in the local Windows workflow and in export folders selected by the user. Firms remain responsible for device security, folder permissions, retention and any later sharing with a client or reporting team.

Can client reporting files be refreshed on a schedule?

Supported plans can schedule a selected workspace, source and connection once, daily, weekly or monthly. The Windows PC, network, provider access, plan allowance and output folder must all be available when the job runs.

Do Xero and QuickBooks clients receive the same Audit Analytics tests?

Yes. Both sources provide the same seven analyses: Benford's Law, exceptional values, period-end activity, round amounts, possible duplicates, post-period reversals and rare high-value counterparties, each with Audit Evidence drill-down.
