How do I connect Xero data to Power BI with Datplan?
Connect Xero in Datplan, run the source sync, create a Basic or Advanced BI package in a stable folder, then connect Power BI to the exported fact and dimension files. Build the relationships and measures once using the supplied guidance; later Datplan runs update the same files.

No cloud warehouse required
Power BI can read the prepared local files directly
Many Xero reporting workflows export data into Excel because standard system reports cannot answer every management question. Datplan makes that local stage repeatable by pulling authorised data, separating reporting grains and writing stable files that Power BI Desktop can refresh.
You do not need Datplan to host the Xero source dataset in a cloud warehouse. If you later publish the model to Power BI Service, that publication and its file-access or gateway configuration are separate choices controlled by your organisation.

Xero and Power BI questions
Clear answers before you choose the workflow
Is Datplan a native Xero Power BI connector?
No. Datplan pulls and prepares Xero data locally, then exports stable files and model guidance that Power BI can use. It is a file-based reporting workflow, not a native DirectQuery or real-time connector.
Does Datplan create a finished Power BI template?
No. The BI package includes model metadata, tables and setup guidance, but the first Power BI model and report layout must be created by the user.
Can Power BI refresh when Datplan updates the files?
Power BI Desktop can refresh from files that keep the same path and names. Power BI Service needs a separate supported access or gateway arrangement, and the Windows machine and files must be available.
Which Xero data is prepared?
Datplan documents Financial Summary, Financial Activity, Invoice Summary, Invoice Lines, Payments and official ledger lines where source access supports them.
Do I need a cloud data warehouse between Xero and Power BI?
Not for the Datplan file-based workflow. Datplan prepares the supported Xero reporting tables and stable files locally. A cloud warehouse may still suit organisations that need centrally managed multi-user infrastructure, very large scale or governed cloud processing.
Can I schedule the Xero files used by Power BI?
Yes, on supported plans. A schedule can refresh the selected Xero organisation and export to the stable folder once, daily, weekly or monthly. The Windows PC, connection, network and folder must be available, and Power BI refresh remains a separate stage.
