The short answer

Connect and sync Xero while online. Datplan prepares the supported reporting tables locally and saved dashboards read that local data. If the PC later loses its connection, you can still review the latest successfully synced dashboard. You cannot pull newer Xero records until connectivity and the source service return.

What remains available offline

  • Saved Datplan dashboards based on the latest completed local sync
  • Previously prepared reporting tables held by the desktop workflow
  • User-created CSV, JSON and BI export files already written to the PC
  • Power BI Desktop or Excel workbooks that can reach those existing local files

Offline reporting is read-and-review continuity. It is not a claim that Xero itself has become an offline accounting system.

What still needs internet access

  • Connecting or reauthorising a Xero organisation
  • Retrieving invoices, bills, payments, accounts, journals or newer source changes
  • Running a scheduled source pull
  • Completing provider, plan or online account checks when required
  • Publishing or refreshing through a separate cloud BI service

The easy Datplan workflow

  1. SelectChoose the workspace, Xero source and authorised organisation.
  2. SyncRun the pull and review the endpoint and completion results.
  3. ReportOpen or save the dashboard, or export stable files for Excel and Power BI.

On supported plans, schedule the selected connection once, daily, weekly or monthly so the local reporting dataset is refreshed before it is needed. The PC, network, connection and source service must all be available at the scheduled time.

Always check the last successful sync

An offline dashboard can look complete while being older than expected. Review the last successful sync time and the reporting period before using it for a decision. If a scheduled run failed, the local files may still contain the earlier valid dataset.

Local control still needs local protection

Protect the Windows account, device, Datplan data, exports and backup folders. Anyone with access to the local reporting files may be able to read financial information. Local storage changes the control boundary; it does not remove the need for access controls, encryption and retention rules.

Frequently asked questions

Can I view Xero reporting dashboards offline with Datplan?

Yes. After a successful Xero sync, saved Datplan dashboards can use the latest reporting data stored on the Windows PC. The dashboard is a local view of that completed sync, not a live connection to Xero.

What cannot happen while the PC is offline?

Datplan cannot connect or reauthorise Xero, retrieve newer records, run an online source sync or complete any service check that requires network access. A scheduled pull also needs the PC, network and Xero service to be available.

Does offline access make Datplan a complete Xero backup?

No. It provides a local reporting dataset and user-created exports. It does not claim to restore an entire Xero organisation, every setting, attachment or historical version.
