The practical answer

You can review saved Datplan dashboards and existing exports based on the last successful Xero sync. You cannot retrieve newer transactions or treat the local snapshot as live. Display or record its reporting timestamp wherever freshness matters.

Useful information already held locally

Depending on the authorised source access and purchased tier, the latest local reporting dataset may include financial summaries, invoices, invoice lines, payments, accounts, tracking information and official ledger lines where supported. Use each table only for its documented grain and accounting purpose.

Prepare before an outage

  1. Complete one manual end-to-end Xero sync and review its result.
  2. Save the dashboards needed for finance or management review.
  3. Choose a stable export folder for downstream Excel or Power BI files.
  4. On a supported plan, schedule an appropriate once, daily, weekly or monthly refresh.
  5. Check the first scheduled execution rather than assuming that saving a schedule guarantees fresh data.

During an outage

  • Use the last successful local dashboard or export.
  • State the data timestamp and expected reporting cut-off.
  • Do not repeatedly launch full re-pulls while the provider is unavailable.
  • Keep any manual adjustments separate and documented.
  • Check Xero’s official service status before diagnosing the local PC.

Refresh in a controlled order after service returns

  1. Confirm the Xero organisation and connection.
  2. Run the normal Datplan sync.
  3. Review endpoint completion, run notes and reconciliation output.
  4. Refresh the Datplan dashboard from the new local data.
  5. Refresh Excel, Power BI or another downstream report separately.

A reporting snapshot is not full business continuity

Datplan provides reporting continuity, not offline transaction entry, bank reconciliation, invoicing or full Xero disaster recovery. A complete business-continuity plan must also cover source access, operating procedures, communications, device availability, secure backups and recovery responsibilities.
