Set up the manual workflow first

  1. Authorise the correct Xero organisation.
  2. Run a manual sync and review endpoint completion.
  3. Choose the required reporting grains or export type.
  4. Write the files to a dedicated stable folder.
  5. Confirm that Excel or Power BI can read them successfully.

Only schedule a workflow that has already worked end to end.

Choose the reporting need—not the maximum frequency

Use a one-time job for a controlled future refresh, daily for genuinely daily management reporting, weekly for regular review or monthly for period-end packs. Every run consumes Datplan allowance and may consume source-provider quota shared with other integrations.

Keep file paths and data purpose stable

Select the supported CSV, JSON or combined output and raw or star-schema tables required. Keep each client, workspace and source separate. Do not rename files or folders after connecting a workbook or Power BI query unless you also update the downstream path.

A schedule has real dependencies

  • The Windows PC and required user context must be available.
  • Datplan must be able to run in the selected scheduling mode.
  • The network and Xero service must be reachable.
  • The connection, permissions and plan must remain valid.
  • The output folder must exist and be writable.
  • No conflicting run or provider limit may block the sync.

Verify Datplan before the downstream report

  1. Check the Datplan execution status and endpoint results.
  2. Check the local data and file timestamps.
  3. Refresh Excel or Power BI.
  4. Check the report’s source timestamp and headline totals.
