The short answer

On a supported plan, select the workspace, HubSpot source and portal, choose once, daily, weekly or monthly timing, select the export output and write it to a stable folder. Datplan performs its supported source pull and preparation; the downstream workbook or BI model refreshes separately.

Prove the manual workflow before scheduling it

  1. Authorise the intended HubSpot portal.
  2. Run the supported sync and review endpoint results.
  3. Build a simple dashboard or export the required files.
  4. Connect Excel or Power BI to the stable output.
  5. Validate company, contact, deal and activity counts before automating.

Choose the CRM grain that answers the question

  • Companies: account-level counts and supported attributes
  • Contacts: person and lifecycle reporting
  • Deals: pipeline amount, stage, owner and close-date analysis
  • Activities: supported calls, emails, meetings and other recorded sales work

Do not sum deal amount after joining one deal to many activity rows.

Schedule for the actual decision cycle

Choose once, daily, weekly or monthly according to how frequently people act on the report. More frequent pulls can consume provider quota and Datplan allowance without making a weekly management decision better.

Keep the export path predictable

Use a dedicated folder for the workspace, source and portal. Keep names and paths stable so Excel, Power BI, Tableau or Qlik can read later outputs. Protect the folder because CRM files can contain personal and commercially sensitive information.

A saved schedule is not proof of fresh data

  1. Review the Datplan schedule and latest execution result.
  2. Check provider permission, quota and availability messages.
  3. Check the local output timestamps.
  4. Refresh the downstream report.
  5. Display a last-refreshed timestamp where users can see it.

Frequently asked questions

Can Datplan schedule a HubSpot reporting export?

Yes on supported HubSpot plans. Select one workspace, HubSpot source and authorised portal, then choose once, daily, weekly or monthly timing and the required local output.

Will scheduled files include HubSpot activities?

They can include the current Datplan-supported and authorised HubSpot reporting grains selected by the export workflow. Exact records depend on provider permissions, response, source support and plan.

Can Power BI Service see the local files automatically?

No. Datplan writes the local files. Power BI Service needs a separately configured Microsoft-supported access or gateway route, and its refresh must be checked independently.
