Microsoft lists its former QuickBooks Online (Beta) connector as unsupported. If you’re planning a 2027 refresh, use the connector end-of-support page to confirm the current list. Intuit documents how to export individual QuickBooks reports to Excel. Those are separate routes into a reporting process. Microsoft connector support · Intuit report exports

Choose the refresh route that matches the work

Route Where it fits What to check
QuickBooks report to Excel One entity with a modest number of periodic reports Consistent headers, periods, accounting basis and folder names
Maintained connector A team that needs a supported, repeatable extraction Coverage of the exact records and reports, storage location and refresh limits
Prepared reporting files A team that wants a file-based handoff or wants to reuse tables in Excel and BI Stable table keys, schema, publication time and reconciliation

A manual report export is a reasonable starting point for one monthly management pack. If the work involves combining several exports or repeating the same formatting and checks, identify the individual tasks that a new workflow should replace. This helps you compare the cost of software with the time and maintenance you would otherwise incur.

Build the replacement around the reporting tables

Inventory the tables and measures the workbook uses. A P&L comparison needs the accounting period, account mapping and basis. Item analysis may need invoice lines. Collections reporting may need payments or a receivables snapshot. Label the data you have and leave any unsupported measure out until its source is established.

Where you can, keep the original query’s output column names and types. Change a copy of the workbook, point it at the new data and refresh it before adjusting visuals. Use separate invoice, line and payment measures. Joining a £300 invoice to three lines and summing the repeated document amount reports £900. A line-based sales measure should sum the three line amounts, while a document measure should read the document once. Microsoft Power BI modelling guidance

Reconcile one closed month before rescheduling

  1. Pick one company, one closed month and the exact currency and accounting basis used by the existing report.
  2. Compare source and BI values for net sales, gross profit and the closing receivables balance, using the right date basis for each.
  3. Inspect a credit note and an invoice with a partial payment. Their signs and timing often expose a model difference faster than a high-level total.
  4. Record any intentional differences, then test what users see if the extraction is late or fails.

A successful source extraction updates the reporting data. Power BI then loads that data on its own refresh schedule. Display the last completed data date so readers can tell what the dashboard represents.
